Quarterly Planning:
Review annual activity calendar at the start of each quarter.
Confirm which events, mailers, and campaigns are scheduled.
Assign Rocks or to-dos in EOS ONE and Monday.com.
Lead Time:
Mailers → 6–8 weeks before drop date.
Events → 2–3 months in advance.
Website content → plan monthly, post within 1 week of event or interview.
Social campaigns → schedule 2–4 weeks ahead.

Clear delegation ensures no single person carries the whole farm effort.

Sets high-level direction and approves final messaging.
Connects with community leaders and big partnerships.
Integrator
Coordinates between Marketing, Realtors, and Ops.
Tracks Rocks and Scorecard metrics in EOS ONE.
Marketing Lead (Hannah)
Designs campaigns, creates content, manages social posts.
Coordinates website updates.
Realtors (Nick, Karim, Chelsea, Marlena, June)
Provide market insights, community stories, and boots-on-the-ground presence.
Attend and participate in events.
Ops/Finance (Chelsea)
Manages budgets, printing, mailing, and logistics.
Tracks expenses and reconciles spend.
5.3 Execution Workflow
Kickoff
Create/confirm campaign entry in Monday.com farm board.
Assign roles and deadlines.
Preparation
Gather templates, content, partners, and budget approvals.
Schedule vendors (printers, venues, AV, etc.).
Launch
Mailer: distribute to residents.
Event: execute on date, capture photos/video.
Website: publish story or recap.
Social: post promotions + recap content.
Follow-Up
Thank partners, volunteers, and attendees.
Share recaps in Facebook group and via mailers.
Enter new leads into Follow Up Boss (tag: Beacon Hill Farm).
5.4 Coordination Across Activities (Stacking)
To maximize impact, every activity should feed into the next:
Mailer promotes event → Event recap published on website → Recap shared on social → Leads tagged in CRM.
Business partnership → Business profile on website → Shared on social → Mailer highlights partner.
This creates the “stacking effect” where each activity amplifies others.
5.5 Post-Campaign Reporting
After every major campaign:
Marketing logs results in Monday.com campaign board.
Realtors/Ops share anecdotal feedback (conversations, community buzz).
Data recorded in EOS ONE Scorecard:
Leads generated.
Website/social engagement.
Event attendance.
Wins and issues reviewed in weekly Level 10 meetings.
