  • Annual Farm Budget

    • Allocated each January, reviewed quarterly.

    • Divided into mailers, events, sponsorships, and digital.

  • Typical Allocations

    • 40% → Mailers (printing & postage).

    • 30% → Events and sponsorships.

    • 20% → Digital (ads, website, boosted posts).

    • 10% → Miscellaneous (new initiatives, contingency).

  • Tracking

    • Ops/Finance monitors expenses in Monday.com Finance board.

    • Reconcile spend monthly, report in EOS Scorecard.


4.3 Tools Setup

The right systems make farming organized, trackable, and repeatable.

  • CRM (Follow Up Boss)

    • Create “Beacon Hill Farm” tag for leads.

    • Track inquiries and conversations originating from the farm.

  • Monday.com

    • Dedicated “Beacon Hill Farm Board.”

    • Columns for activity type, responsible person, due dates, budget.

    • Timeline views for campaign scheduling.

  • Google Drive

    • Folder: Marketing → Farms → Beacon Hill.

    • Subfolders: Mailers, Events, Photos, Partnerships, Reports.

    • Store templates, finalized designs, and post-event recaps.

  • EOS ONE
