Purpose

Impress our clients with a high level of consistent, repeatable service during the purchase or sale process.

Summary

Closing is an exciting and often emotion-filled day for our clients. We can help by making this a positive experience. This is the Transaction Coordinator’s responsibility (Listing to Contract). The Transaction Coordinator directs the Buyer’s Agent or Listing Agent where needed to complete these duties. It is important to note that the Transaction Coordinator “Owns” these duties, and is responsible for ensuring that they do them on time or ensure that someone else does them on time.

It is important to note that in Ottawa we do not need to physically attend closings. That’s more of an American expectation. By the time closing comes, everything should go smoothly if we’ve anticipated potential issues. Our role as a team is to make this a positive experience.

List of Duties and Competencies

May include, but are not limited to:

  • Ensuring that all parties such as lawyers and lenders have appropriate documentation

  • Responding to problems

    • by reassuring the client that we are on the case and here to help

    • remaining positive and collaborative, never assigning blame

    • anticipating issues and presenting solutions

    • taking responsibility to deal with small issues immediately to solve them for the client so that they do not need to deal with them. (See entry on dealing with problems as marketing)

  • Hanging lockboxes and communicating codes
