Procedure

Adding a New Client Record

A new lead can be added into Follow Up Boss in one of two ways:

  1. Manually. The assigned Realtor must follow the flowchart and tagging nomenclature to create the client record.

  2. Automatically, usually via an ad or web registration. Some tags and stages might be assigned from the action plan associated with this ad or registration.

Once a new person is added to the database, the following should be added immediately. Don’t wait to do this.

Stage

Most new clients start as a lead, but should be recategorized once they have been contacted to indicate their level of motivation.

Use the nomenclature from the master list to select ONE source.

Agent

This should be the agent who will be the main point of contact for the client(s). If in doubt. Ask Nick.

Tags

Use the nomenclature and add ALL relevant tags. These determine how we segment the database and how we keep in touch with people.

Permanent Database

If the team dissolved tomorrow, who would that client go with? We have a flowchart to tell you, and ask Nick if you’re not sure.

OREB Code

This is used in one of two ways, but only one code can be entered.

  1. For Sellers or anyone who already owns a home, use the code where the home is located.

  2. For sign calls, use the OREB code that they enquired upon.

When to revisit a client record.

Update a client record any time that:

  • A lead becomes a client

  • A client buys or sells a home

  • Periodic auditing

  • We interact with a client at a client event or visit.
