Purpose

Create a great client experience with smooth listing preparation.

Summary

The Listing Manager is responsible for “getting the house ready” once the listing is signed. They become the main point of contact for all coordination of clients, agents and vendors until the listing is launched on the MLS. It is very important to:

  • Communicate clearly and professionally

  • Anticipate potential issues and solve them in advance

When to do it

Staging

Coordinate a staging consultation with the Sellers. The Sellers will generally walk through the house with the Stagers and will give a verbal consultation (the Seller takes notes). Stagers will invoice our team directly.

Schedule this with the Seller as soon as the Exclusive Listing is signed.

Pre-list inspection

For freehold homes, coordinate a pre-list home inspection for the Sellers. Inspectors invoice us directly.

Schedule this with the Seller as soon as the Exclusive Listing is signed.

Status Certificate

If the listing is a condominium, order a copy of the unit’s status certificate to be delivered to our office. Scan a copy that we can share with interested buyers.

Order this as soon as the Exclusive Listing is signed. It will take up to 10 days to arrive.

Pre-list cleaning

We may offer pre-list cleaning to our clients. Check with Nick to see if we have.

If we are doing this, coordinate this to happen a day or two before Media Day.

Repairs

Connect the clients with someone from our preferred vendors list.

Offer this when coordinating staging and pre-list inspection and offer to call the vendors to schedule if they prefer.

Lockbox and Signage

Coordinate a lawn sign and mechanical lockbox (to be replaced later with an iBox).

Property photos and video “Media Day”

Coordinate client, photographer and agent availability for photo and video. Typically, the photographer works best when the house is empty. The videographer and the agents do media day together. A lockbox may be needed to provide access to the property.

Schedule this with the Seller as soon as the Exclusive Listing is signed. Ask Nick first whether he’s already arranged dates with the clients, otherwise you can reach out and coordinate this.

Photos should ideally happen two weeks before the MLS is scheduled to go live.
