Client Service, Working From Home, Sick Days, and Time Off Policies {{ currentPage ? currentPage.title : "" }}

Summary

This section outlines the team's internal policies regarding client service boundaries, remote work expectations, sick leave, and vacation planning. These standards ensure operational continuity, clarity of responsibilities across seats, and seamless service for our clients while protecting team members' dedicated work time.

Client Service & Paid Admin Boundaries

To maintain high standards of client care and clear operational boundaries, paid administrative hours and client-facing duties are kept strictly separate.

  • Dedicated Time Separation: Administrative team members holding paid admin positions must devote their dedicated paid time strictly to administrative tasks.

  • Client-Facing Duties: Handling calls, emails, texts, and general client-service duties must occur outside of dedicated paid admin hours.

  • Exceptions: If an exception is required during paid admin time (for example, scheduling a home inspection), team members must approach the Integrator (Chelsea) for approval before scheduling or taking action.

Working From Home (WFH) Policy

  • Office Baseline: Working from home is generally avoided for paid administrative positions. Admin team members are expected to work on-site at the office.

  • Exceptions: Any remote work arrangements for paid admin roles must be explicitly discussed and approved by the Integrator (Chelsea) in advance.

Sick Day Policy

  • Notification: If you are sick and unable to work, notify the team and the Integrator (Chelsea) as early as possible.

  • Morning Briefing: After notifying the team, arrange a brief check-in with the Integrator (Chelsea) to review any urgent, pressing to-dos that must be completed that day.

  • Team Coverage: If urgent coverage is required, the team will manage and cover the critical tasks for that day.

  • Unpaid Sick Time Off: When taking a sick day, the time off is assumed to be unpaid and that the team member is not working from home, unless otherwise agreed upon with leadership.

Time Off & Vacation Policy

  • Advance Notice: Whether requesting time off during the workweek or over a weekend, notify the team as soon as possible.

  • Coverage Verification: Advance notice is required to ensure no conflicting vacations exist with other team members, guaranteeing that someone is available to provide continuous operational coverage.

  • Calendar Entry: Once vacation time is officially approved, the team member must immediately add the approved dates to the shared team calendar.
