When a listing goes Conditional, there are multiple places and that need to be checked and information that needs to be updated.

Reaching out to Clients/Lawyer

  • When a listing is sold conditionally, reach out to the clients regarding selection of professionals to handles the sale of the property.

  • “Congratulations on the conditional offer for (insert address)! I am just reaching out to see if you have chosen a lawyer who's services you would like to retain for the sale of your property. If not, I have included a link to our website with professionals with whom we have worked with. Once you land on a lawyer, if you could please notify us, that would be greatly appreciated. If you have any questions, please feel free to reach out.”

  • The blog post to include in this email is on our website and can be found by searching for “our extended team”

  • Request that they notify you as soon as they have selected a lawyer to work with

  • Ensure to include lawyer information in both FUB under their client profile as well as in NEXONE under Contacts for the transaction once you flip it to conditional (see steps below)

  • Contact the other side’s agent and provide them with the lawyer they will be using for the transaction and obtain the buyer’s lawyer as well

  • Email lawyer as soon as the client has selected one and introduce yourself and send any paperwork necessary (APS, COOP, NOF/Wavier, and Amendments) to lawyers throughout the transaction process

NEXONE

Check NEXONE for all document inclusion and completeness

  • When a listing goes conditional, we need to check that all the documents required for the transaction to proceed are uploaded, correct, and completed in NEXONE

  • Navigate to the correct listing in NEXONE that has gone Conditional

  • Check the documents for the listing and ensure all required documents are uploaded, complete, and signed

  • Double check the transaction information and cross reference with all the final paperwork in the documents section to ensure the transaction details and information reflects the agreement

  • If all the required documents are there and match the listing details in the NEXONE listing, you can edit the listing to flip it over to Conditional

REALM/MLS

Changing the listing status on MLS

  • Next, we can move forward to flipping the listing over to conditional on MLS in REALM

  • Navigate to the add/edit listing and find the listing that just sold conditionally

  • Click the three dots button beside the listing and select change status

  • Once prompted, change the status to conditional and input the date upon which the conditions must be met indicated in the APS on Schedule A

Follow up Boss (FUB)

Moving deal card in FUB

  • Once the above steps have been completed and document completeness has been verified, find the deal card for the specific property in FUB

  • Drag the deal card from the MLS Listed stage to the Conditionally Sold Listing

  • Make sure to input the Closing Date in FUB

    • Create a reminder to email lawyer a week before closing to ensure they have everything the need to close the transaction

  • This helps show what stage each listing is currently in and triggers automations in FUB for each property listing

Monday

Monday helps keep track of financials and our listings and their stages

  • Once a listing has been moved in FUB, go to Monday and under the Sales and Service workspace navigate to the 20XX scorecard for the given year

  • In the currently listed section, find the property that has gone conditional and in the status column, flip the status to conditional

  • Use the information in NEXONE to fill out the row pertaining to the conditional listing
