Core Responsibilities

1. Listings & Marketing Operations

  • Set up MLS listings, update statuses (active → conditional → sold firm).

  • Coordinate pre-list tasks including inspections, cleaning, photos/video, staging, and Drive/Google Space setup.

  • Create the listing on our Website and upload YouTube listing video.

  • Add/remove open houses on MLS & website; collect open house feedback.

  • Coordinate social media posts or paid ads with Hannah when needed.

2. Showings & Client Communication Support

  • Schedule showings for team listings when asked.

  • Collect and distribute showing feedback to our Sellers.

  • Trigger processes for conditional periods, lawyer information, and communication tasks.

3. Transaction Coordination

  • Maintain Nexone files (listing, conditional, sold). Both Buyer and Seller.

  • Upload APS, amendments, NOF, waivers.

  • Deliver client emails as directed.

  • Keep MLS up to date.

4. Finance & Compliance

  • Maintain Monday.com invoice board.

  • Manage EFTs and monthly expense paperwork (Kerry Kirk spreadsheets).

  • Update QuickBooks monthly.

  • Handle DEXT uploads and categorization.

  • Complete FINTRAC (Buyer/Seller, ROF, PEP) accurately.

  • Keep financial spreadsheets updated.

5. Client Care & Team Initiatives

  • Manage closing gifts, referrals, pre-list baskets, birthday cards, anniversary cards.

  • Maintain closing gift board.

  • Track closings vs. reviews received.

  • Book client testimonials and request Google reviews.

6. Team Events & Culture

  • Assist in planning & executing client events (Pie Day, Tire Change Day, Pierogi Party, Ice Cream Day, Name That Tune, etc.).

  • Support FTHBCC events.

7. EOS & Weekly Operations

  • Prepare for and help run Friday EOS meetings.

  • Support Nexone cleanups and organization tasks.

  • Complete weekly check-in for admin/ops/finance.

  • Maintain Timesheets.
