The Weekly E-Newsletter (“The Weeklies”) is sent to VIP clients and past clients who already know the team and have an established relationship with us. Unlike the Weekly Content Roundup, which highlights agent blogs broadly, the Weeklies focus more on relationship-building, client engagement, and community updates.
The tone should feel more personal, conversational, and team-oriented, reflecting that this audience already knows and trusts the team.
The process includes agent submissions, marketing compilation, distribution through Follow Up Boss (FUB), and performance review.
Agent Content Submission
1. BombBomb Video Submission
Each agent records a BombBomb video for their Weekly email audience.
The video should be a short personal message that may include:
A quick market insight
Commentary on something happening locally
A brief update on what the team is working on
Mention of upcoming client events or community involvement
Once recorded, the BombBomb video must be shared in the designated Google Chat channel for Weekly emails.
Deadline: Thursday at 2:00 PM
Marketing Compilation
Once videos are submitted, the Marketing Team assumes full responsibility for drafting the Weekly email.
2. Draft the Weekly Email
The Weekly should be shorter and more curated than the Weekly Content Roundup.
The content should feel:
More personal
More community-focused
More relationship-driven
Marketing should consult with Nick (Visionary) when drafting to ensure that priority initiatives and messaging are included.
3. Key Content Sections
The Weekly email may include the following sections, depending on available content.
Greeting
Start with a friendly greeting using merge tags for personalization.
Example:
Opening / Personal Note
Begin with a short introduction that feels personal and conversational.
This section may include:
A brief market observation
A personal team update
Commentary on something happening locally
Curated Blog Content
Select one or a few relevant blog posts from the week.
Unlike the Weekly Content Roundup, the Weekly should curate content selectively, rather than listing every blog.
Provide a short description and link to each included blog.
Client Events & Community Initiatives
Highlight any client-focused events or community involvement, such as:
Client appreciation events
Fundraisers
Community initiatives
Local partnerships
If there are upcoming client events, they must be included.
Major Content Releases
Include any major team content when available, such as:
Monthly Market Update (MMU)
Podcast episodes
Provide a brief description and link where appropriate.

Include a short section highlighting events happening in Ottawa that weekend, such as:
Festivals
Markets
Community events
Seasonal activities
Closing & Call to Action
End with a short closing message and a relevant call to action.

4. Open Follow Up Boss
Once the draft is finalized, move into Follow Up Boss (FUB) to prepare the email.
5. Filter the Contact List
Apply the following filters:
Tag: WENL – Weekly E-Newsletter
Exclude: Unsubscribed contacts
Email Status: Good (not bounced or invalid)
Agent: Nick
Ensure All Emails are selected.
6. Create the Email
Create the email using the Weekly template.
Steps:
Copy and paste the finalized Weekly content into the template.
Review formatting carefully, particularly:
Bulleted lists
Spacing
Links
7. Embed the BombBomb Video
Use the BombBomb integration icon to embed the appropriate BombBomb video directly under the introduction section.
8. Schedule the Email
Schedule the email to send:
Friday at 8:30 AM
9. Repeat for Each Agent
Repeat the same process for each agent by adjusting the contact filters:
Change the Agent filter
Embed the appropriate BombBomb video
Each agent’s contacts should receive the version featuring their own BombBomb introduction.
Performance Review
10. Monday Review
During the Sales & Marketing meeting on Monday, review performance metrics for the Weekly email.
Key metrics include:
Open rate
Audience size
Click-through engagement
Overall performance trends
Discuss results with the team and identify opportunities to improve future newsletters.
