A busy office environment is usually a good thing as it signifies that business is booming and employees are productive. Unfortunately, in all the hustle and bustle of a busy office, managing visitors is something that sometimes gets overlooked. Some offices don’t have any particular protocols in place for visitor management, and this can lead to a host of problems.

If you haven’t considered creating a visitor policy in your office, below are three reasons why now is a good time to create one:

1. Visitor Management Protects Employees

Like it or not, some visitors to your place of business may not be there with good intentions. Domestic disputes can spill over into a workplace when a jilted ex comes to visit, and you may also experience unwelcome visitors who are simply looking for a place to hang out for a while.

In either of these two situations, employee safety can be put in danger without a visitor management system in place. This isn’t to say that you have to be overly restrictive with who you allow into your office, but having a visitor management system in place is the safer option.

If you don’t know who is on your property, you won’t know where to turn if a visitor causes property damage. Vendors, family members of employees and individuals seeking job applications are just a few of the different types of people who may end up wandering around your company’s property if you don’t have some type of visitor policy in place.

Furthermore, if you don’t know who is on your company’s property, you may face liability issues for property damage that causes injuries to a visitor. If you have a restricted area that is accessible by anyone wandering by, your company may wind up in court if an unregistered visitor gets hurt on your business property.

An unauthorized visitor can also be a threat to data security. If someone is on your company’s property and happens to come across sensitive data, you need to know who that person is and whether they can be trusted with this knowledge. A comprehensive visitor management policy can mitigate the potential for damage in these situations.
